One feed holds every review from every source, so most of the work is narrowing it. Search finds words, filters describe what a review is, and a saved view keeps a set of filters you go back to.
What you need: at least one connected source.
Search
The search box reads the review text, the title, the original text before it was translated, and the author name. It waits for a short pause in your typing before the list moves, so the feed is not re-sorted on every letter.
The filter drawer
Filters opens the drawer and carries a number when any are set. Filters apply as you set them: there is no apply step, and the list behind the panel is already updating.
- Rating. Any, 4 and 5 stars, 1 to 3 stars, or your own range with From and To. Reviews with no stars, like Facebook recommendations, drop out once a rating is set.
- Site. All sites, or the ones you pick. This is the same setting as the site switcher at the top of the screen, so changing it in either place changes both.
- Reply. The reply states to show: Needs reply, Draft, Waiting for approval, Posting, Scheduled, Replied, Replied by hand and Reply failed. See Reply statuses.
- Private feedback only. Feedback that came to you privately and was never posted.
- Date range. From and Until. Set the range here before you export, because the export follows these filters exactly.
The filter drawer open beside the reviews feed, showing the rating, site, reply, private feedback and date sections.
Every active filter becomes a chip under the toolbar. Click a chip to drop that one filter, or clear them all from the end of the row.
Filters work inside the tab you are on: Reviews and Archive each filter separately. The Approvals screen has its own 2 chips and ignores these filters.
The 4 saved views
4 ship with the product and are on every location:
- Needs a reply. Reviews nobody has answered yet, and replies that did not go through.
- Critical, 1 to 3 stars. The reviews most likely to cost you a customer.
- Private feedback. Feedback customers sent you instead of posting it.
- Last 7 days. Every review from the past week.
The saved views menu open, listing the 4 views that ship and Save current view underneath.
Saving your own
- Set the search and filters you want.
- Open Saved views and choose Save current view.
- Type a name and confirm.
The view joins the menu, named the way you typed it. The menu button shows the name of the view you are in. Change any filter afterward and the name drops away, because the filters are no longer the ones that were saved.
A saved view is yours, not the location's. It is stored against your account rather than this browser, so it follows you to any device you sign in on, but nobody else on the team sees it. An owner or an administrator gets no wider list either. The 4 views above are the only ones the whole team shares.
Renaming or deleting one of your views is in the same menu: open it and choose Rename or Delete beside the view. A location holds up to 50 custom views per person.
A few views worth saving
- 1 star, this month for a weekly look at what went wrong.
- Google, needs reply once Google connects, for the site where an answer is seen most.
- Reply failed on its own, to catch anything that never reached the site.
What this costs
Nothing. Searching, filtering, saving a view and reading the result are all manual work, and manual work is free however much of it you do. Only automated work counts against your credits, and the feed never pauses when they run out.
