The agency panel is the level above the product. The locations are where reviews are read and answered; the panel is where you decide who your clients are, what they pay, what their app is called and how much automated work they get.
What you need: an Agency plan, and an owner or staff account on it. A solo account has no panel and is sent back to its location, and a client never learns the level exists.
What is on it
The agency sidebar with its entries and the Open a location link at the bottom.
- Dashboard is the home screen: the alerts worth acting on today, the totals for the whole account, the clients that need a decision, what your clients are paying you, and the last few changes your staff made.
- Clients is every client account, with the locations they own, the credits they burn and the price they pay you. This is where you add one and where you manage one.
- Insights is where your revenue over time goes.
Collected against list price, on Insights
Insights shows 2 revenue figures and they answer different questions. List price is the retail price on every client billing this month, which is what you typed into their row. Collected is what Stripe says was paid on your connected account over the last 6 months, by invoice creation date: paid invoices only, an invoice for 0 is never counted, and refunds issued in the same 6 months are subtracted, so it is money you kept. The 2 will not match, and the gap is the point: a client whose card failed last week is in the list price and not in what was collected.
Collected by client splits the same 6 months. An invoice for somebody who is not a client here still counts towards the total, as Everyone else on your Stripe account, so the figure agrees with your Stripe dashboard. Without Stripe connected there is no collected figure at all and the screen says so, rather than printing a 0.
- Branding is the white-label layer: app name, logo, color, domain and email sender, plus the language your clients read the app in and whether they may change it. On the Agency plan the row is still there, with a lock on it, and opening it says what Whitelabel costs.
- Client defaults is what every new client account starts with: permissions, the retail plan and its allocation. Every agency plan has it.
- Client billing is money coming in: your credit pool, the cap per client, your retail prices and the ledger.
- Team is your own staff and which client locations each of them can enter.
- Activity is the trail of changes made to the account.
- Developers is your API keys and your outbound webhooks. See Create and manage API keys.
- Settings holds your own subscription, your account details, your alerts, and the danger zone.
Clients, locations and sources
3 levels, and mixing them up is the usual source of confusion.
A client is an account. Price, credit allocation, billing permissions and whether they can sign in are all decided once, here, for the whole account.
A location belongs to a client and is how one client's brands or branches are kept apart. Each location holds its own sources, rules, saved replies, team and reviews feed. A client with one brand has one location, and most do.
A source is one place reviews come from, such as a Facebook Page, inside a location. Every source belongs to exactly one location.
The panel Dashboard with its alerts, stat row, needs attention list and recent activity.
The screen you land on
Dashboard is about the agency, not about any one client.
At the top sit the alerts worth acting on today: a location over its allocation, a location past 80%, and sources that have lost access. Each one carries the button that answers it.
Under them, the stat row totals your clients, their locations, the sources you can act on, the credits left this cycle, what those clients pay you and the reviews processed.
Needs attention is the same trouble named one location at a time, so you know who to open. Revenue this cycle is what your retail prices add up to and what is left after credits, with Insights one click away for the same figures over time. Recent activity is the last few things anyone did to the account.
The Clients tab
The Clients tab with one row per client account.
1 row per client. Open a row for the manage drawer, or use Open as client to work their reviews as they would. See Add a client and their locations for who may do that. Add client is here too.
An old bookmark to the panel still works: it lands on Dashboard, and Clients is the row underneath it in the sidebar.
What your clients see of it
Nothing. A client signs in to their own location under your branding, with no location switcher listing anyone else, no link back up here, and no aggregate number from this screen anywhere. They meet your plan names, your prices and your support address, and never the word credit.
Where your own subscription lives
What you pay us is under Settings > Subscription in this panel. What your clients pay you is Client billing. The two are deliberately never on the same page, because they are opposite directions of money.
