Who can approve

Which roles can clear the Approvals queue, how location access narrows it, and what a client sees when their plan has no approvals.

Last updated October 14, 2026

The Approvals queue is part of answering reviews, so the rule is short: anyone who can answer reviews can clear it.

What you need: a seat on the location. There is no separate approver permission to hand out.

The 4 roles

All 4 location roles can approve and discard. See Roles and what each can do for the full lists.

That is deliberate. Deciding one draft is the same work as writing one reply, and a queue only one person can clear is a queue that sits full.

Suggested image Screenshot of the Team section table: 4 members with the roles Owner, Administrator, Manager and Moderator, their location access, and one row marked Invited.

What the roles change is upstream

The difference is not who may press approve, it is who may change what fills the queue:

  • A moderator can clear the queue but cannot change an agent's rating bands, its mode or its instructions.
  • An owner or an administrator can change agents, which is what makes them the right person when the queue keeps filling with drafts nobody wants.

If the queue is noisy, look at the agent's approval band: every review at or below it lands here. If the queue is empty when you expect drafts, check that an agent is live, covers the site and location, and has an approval band above 0. See Rating bands.

Location access

Members can be limited to certain locations. The queue follows that, so somebody with 2 locations sees the drafts for those 2 and nothing else, and the counts at the top are counted for them. See Locations.

An invitation that has not been accepted yet gives nobody access to anything.

Clients of an agency

For a client of an agency, reply approvals are a feature of the plan their provider sells them. When the plan includes them, the client works the queue like anyone else.

When it does not, the client has no Approvals screen. A draft waiting for approval still shows on the review card as "Draft waiting for approval", read-only, and waits for the provider to decide it. The client can still answer the review in their own words, which replaces the draft.

Where approvals show up afterward

There is no separate approvals report. What there is:

  • The review card shows the reply that went out, and who or what answered it.
  • Handled this session at the bottom of the queue is a live record of what you decided in the last few minutes. It is a working list, not a permanent log, so it starts empty each time you come back.

What this costs

Nothing, whoever presses the button. Approving and discarding are manual actions, and manual actions are free for every role. Only the automated work that filled the queue counts against your credits.
